Job Description:

Title: Director of Residential/Rental Lease Administration

PURPOSE

Searchpath International has been selected to search for a Director of Residential Lease Administration for their large real estate development client. This position will office in Columbus, OH.

This position will manage all lease administration functions for a large 12,000 unit residential/rental portfolio in the NYC area. Oversees lease administration staff and is responsible for their supervision, training, performance management and adherence to company policy and procedures. Overall management for review of tenant lease abstracts, recovery billings, percentage rent billing and reviewing and explaining monthly rent and recovery variances. Provides management with necessary schedules, reports and research pertaining to leasing and contractual requirements. Supervises the department database and records.

ESSENTIAL JOB FUNCTIONS

1. Leads and supervises processes for new lease requests and all lease administration. Reviews and verifies new tenant listings, existing tenants, lease records and unit documents, legal descriptions and signage requirements and supervises the preparation and maintenance of activity log. Supervises and maintains an awareness of turnover dates and informs management of appropriate departments of rush status jobs. Manages and maintains lease status in department database and provides as needed reports to management. Analyzes documents for possible conflicts with regards to applicable exclusives or restrictions, and reports to management solutions.
2. Oversees the process of lease requests including lease renewal/extensions, amendments, relocations, terminations, assignments, rent commencement/term agreements and lease memoranda. Verifies pay history and approved financials. Coordinates and manages lease status in departmental database.
3. Directs processes of tenants signed documents. Ensures all contractual requirements are satisfied (ie witnesses, notarized). Verifies and processes any applicable payments. Completes and attaches routing instructions and necessary documentation and forward to appropriate department for approval. Obtains applicable approvals from departments such as management, property management and leasing.
4. Prepares all new and other fully executed lease summary abstracts. Manages the inputs and financial and non-financial information into accounting system (MRI). Directs the distribution of abstracts to leasing agent, accounting and property management. Follows up and directs upcoming rent commencement dates and notifies accounting to ensure timely rent billing. Manages all NY State Housing Regulations requirements
5. Responds to requests from management for lease information both internally and outside the company. Directs the revisions to lease summaries as requested and forwards any changes to the accounting department.
6. Oversees the updates in leasing database and prepares status reports.
7. Verifies rent rolls in connection with financial and sales transactions.
8. Prepares or reviews tenant holdover letters/arrearages, evictions.
9. Provides summary reports on recovery billings, percentage rent billings and monthly rent and recovery variances
10. Manages and directs a staff by training, coaching, counseling, and monitoring job performance. Provides timely performance reviews and development plans to direct reports. 

ADDITIONAL DUTIES AND RESPONSIBILITIES

1. Assumes additional responsibilities and performs special projects as needed or directed.

REQUIRED QUALIFICATIONS

Education, Training and/or Experience

Five years of experience in management of lease administration in a LARGE residential/rental environment. NY State Residential/Rental Law knowledge preferred. Bachelor's Degree or equivalent, with accounting or finance concentration or equivalent work experience. Proficient in Microsoft Excel and MRI. Prior supervisory experience managing a team. Residential property management a plus.

Knowledge, Skills, Abilities and Personal Characteristics

Developed knowledge of residential lease provisions. High degree of initiative and independent judgment. Ability to communicate at all levels. High degree of strong written and verbal communication and presentation skills. Strong attention to detail. Ability to manage a staff and develop staff in the areas of lease review, analysis and interpret lease documents.
